Gandhi Institute of Technology and Management (GITAM) faced significant

challenges in managing their campus recruitment drives due to a lack of

efficient coordination with recruiting companies, cumbersome data

management processes, and communication gaps among stakeholders. The

placement cell struggled with manually handling large volumes of student

and company data, leading to scheduling conflicts, errors, and inefficiencies.

Additionally, inconsistent communication between the placement team,

students, and recruiters resulted in missed opportunities and frustration.

GITAM needed a robust solution to streamline their recruitment process,

improve data accuracy, enhance communication, and reduce administrative

workload to ensure a smooth and successful campus recruitment experience.


Evaluation of the problem


Techtron Global Services conducted a thorough evaluation of GITAM's campus

recruitment challenges, identifying key issues in coordination, data management,

and communication. We proposed and implemented a customized Zoho CRM

solution tailored to GITAM's needs, which centralized data management,

automated scheduling, and streamlined communication between the placement

cell, students, and recruiters. Our solution reduced administrative burdens,

minimized errors, and improved overall efficiency. We provided comprehensive

The system provides the capability to create colleges without duplication, ensuring each college is uniquely recorded. It features functionality to tag a contact person and associate multiple vacancies with each college. The placement process can be effectively tracked using the pipeline feature of Zoho CRM. Customized reports offer detailed analytical insights into placements. Integration with WhatsApp enhances customer engagement by allowing direct . communication and template sending from within Zoho CRM. Additionally, Zoom integration facilitates scheduling Zoom meetings directly from Zoho CRM, streamlining the process and improving efficiency.


Implementation


The implementation of Zoho CRM at GITAM was completed over an 8-week period.

In the initial two weeks, we conducted a thorough assessment of the existing campus

recruitment process by engaging with the placement cell and recruiters to identify key

bottlenecks, such as manual data entry, inefficient scheduling, and communication

gaps.


To mitigate these issues, we customized Zoho CRM to automate processes and

centralized data management in weeks 3 and 4. We also conducted a thorough data

cleanup to ensure accurate migration into the new system. In week 5, we provided

comprehensive training to the placement staff and offered additional support services, including user manuals and on-demand assistance, to ensure a smooth transition.


The final phase, from weeks 6 to 8, involved deploying the CRM system and setting up performance monitoring tools. We continuously collected feedback and optimized the system to enhance efficiency and address any emerging issues.
